Leanmerce Purchase Planner

Product scope, sales, coupons, and external systems

This article explains which products and WooCommerce sales enter a plan, how coupon types affect sales evidence, and where external POS or ERP data needs an intentional integration.

Select the product scope

  1. Go to Leanmerce → Purchase Planner → New plan.
  2. Select a brand taxonomy and brand terms, product categories, exact SKUs, or an intentional all-physical-products scope.
  3. Within one filter, multiple selected terms use OR. A brand filter and a category filter combine with AND.
  4. Category selection includes child categories. Exact SKU selection takes precedence over taxonomy scope.
  5. Review the selection audit after calculation.

Variable parents, grouped products, external products, virtual items, and products classified as non-inventory are not directly orderable rows. Orderable variations can be selected, and shared parent-managed variation stock is handled conservatively.

Sales included

The Free plugin reads eligible WooCommerce orders with processing, completed, or refunded status. The order creation date must fall inside the selected analysis period. A known created_via identifier can be excluded in Additional parameters; no source is excluded by assumption. Refund and return evidence is applied conservatively to net sold quantity.

Price-period choices classify catalog-price periods; they cannot reconstruct every dynamic discount rule or off-platform sale. Always compare the relevant-order count and net sold quantity with a narrow test scope when introducing a new order source.

Promotional versus payment coupons

An ordinary promotional coupon reduces the economic selling price used for price-period evidence. A stored-value or payment-instrument coupon should be classified separately so the planner does not mistake payment value for a promotion. Unknown or mixed allocations remain conservative rather than being guessed.

External POS and ERP boundaries

Sales that exist only in an external POS or ERP are not automatically included. A supported integration may create appropriate WooCommerce orders or use the documented order-inclusion filter with auditable source identifiers. The Free plugin does not imply PANTHEON-specific behavior. Likewise, a later inventory snapshot cannot reconstruct the exact times of earlier stock changes.

If expected sales are missing

  • Confirm the SKU or variation identity is in the calculated selection audit.
  • Check the order creation date and selected analysis period.
  • Check whether the order is processing, completed, or refunded.
  • Inspect created_via exclusions and any custom leanmerce_purchase_planner_include_order callback.
  • Review refunds, returns, coupon classification, and whether the sale exists only outside WooCommerce.

Verify

Calculate a narrow exact-SKU plan. Compare its selection audit, relevant-order count, net sold quantity, and date range with the WooCommerce orders you expect. Resolve differences before widening the scope.
